Summary
This position is responsible for managing the implementation of firm sponsored and hosted business development and marketing-related events including client appreciation events, firm hosted seminars and industry/conference sponsored events.
Responsibilities
Event Oversight:
Plan, coordinate, and/or oversee coordination on all logistics associated with events.
Event Promotion:
Work with event leads to maximize the firm profile at conferences, marketing events and within the organizations in which the firm retains membership.
Manage firm events
, CLE Accreditation:
Manage CLE accreditation process including application for credit, internal communications, post-event follow-through to ensure appropriate credit is attained for the event and provided to event attendees through the Bar’s CLE website.
Event Staffing
: Ensure events are properly staffed and managed.
Provide training, guidance, policies, procedures and best practices to team members supporting firm events. “Managing up” is required. Ensure that event checklist is followed for every event.
Oversee assignments given to firm hostessing staff or internal or offsite staff to ensure completion and adherence to firm standards.
External Coordination:
Develop and maintain relationships with external partners, such as Bar CLE accreditation contacts, conference producers and community and business leaders hosting events of interest to the firm.
Invitation Lists:
Coordinate execution of list development and event communications between Industry Team BD leads and Marketing Operations team, particularly on meeting process deadlines.
Communications:
Working with the firm’s Design Specialist, Business Development leads and Content Strategist, ensure that communications tasks from the event planning sheet are entered into the team’s project management system; follow-up with assigned leads to ensure delivery deadlines are met.
Event presentations and printed materials:
For events involving presentations, coordinate with speakers to ensure materials are submitted, conformed to firm templates, and added to the master presentation. Charged with quality control related to presentations.
Coordinate presentation set-up with logistics team, ensuring back-up systems and presentation sources are available.
Working with the Director of Marketing Operations, event lead, Marketing Coordinator, and Design Specialist, ensure that appropriate event collateral and giveaways are on hand, providing input regarding selection, inventory and use.
Coordinate with Marketing Coordinator to ensure guest name tags are organized and printed according to RSVP list; and that permanent Waller name tags are pulled and ready for the event.
Event Budgets & Reporting:
Create and monitor event budgets, post-event surveys and summary reports; and attendee records; organize post-event debriefing with event leads and key stakeholders and report out on event cost, attendance and survey feedback.
Bridgestone Suite:
Manage use of firm suite including ticket allocation and food and beverage services; communications with attorneys and reporting to Chief Business Development Office on use.
Qualifications
Solid understanding of law firm or professional services environment and sensitivity to clients’ responsibilities and expectations.
Must be able to thrive in a fast-paced environment and have a high-level of organizational and prioritization skills.
Solid capability in firm’s core Microsoft applications, especially Word, PowerPoint, and Excel. Knowledge of CRM software such as Hubspot, Interaction, and SmartSheet are preferred.
Must have strong skills in written/verbal communication and be able to work well with lawyers, other professionals and staff within the firm.
Ideal candidate will possess a strong team orientation, demonstrating a commitment to such values as professionalism, accountability, teamwork, trust, client service and communication.
Requirements
Bachelor's degree required.
Minimum five years event management experience, preferably within a professional services environment and ideally within a large law firm.
This position requires the ability to work flexible hours in addition to and outside of normal business hours and the willingness to monitor messages and respond to urgent requests after hours and on weekends.
Some travel may be required.
