CIRCLES Alliance

invites applications for a

Project Manager

(PM)

to help lead the initiative at UM. The Project Manager will collaborate with other institutions in the Alliance in fostering lasting culture change so that students from all backgrounds, particularly those from our Indigenous communities, will excel in STEM.

The PM’s duties will comprise day-to-day program administration which includes managing program activities, timelines, budgets, and logistics in collaboration with the greater Alliance. The PM will work collaboratively with a diverse group of faculty and staff across the university, across the Alliance, and with tribal communities on facilitating the success of the project. The incumbent will report to the Project Director (PD) of the CIRCLES Alliance. The PM operates with an exceptionally high degree of autonomy to administer and manage the program and execute the responsibilities outlined below. The PM is often responsible for independently identifying and assessing important administrative duties and resolving them with the PD.

Major functions include:

Management and oversight of all aspects of the CIRCLES Alliance operations and communications, including administrative, budgetary and program functions:

Collaborates closely with the National Science Foundation (NSF) and the CIRCLES Alliance institutions to develop and sustain strong working relationships with the overall administrative community.

Maintains up-to-date knowledge of NSF funding regulations and compliance, grant budgeting, and accounting.

Collaborates closely with the PD and the CIRCLES Leadership Team to oversee Alliance operations and activities.

Executes all programmatic functions in the absence or the PD.

Works with faculty, staff, administrators, and tribal community members.

Manages budget and ensures spending complies with NSF’s regulations and is kept within budget parameters.

Hires staff and/or students at the University of Montana needed for the project.

Monitors and tracks program activities and progress of participants, including faculty, staff, and students, and communicates with the CIRCLES Leadership Team.

Works collaboratively with CIRCLES Leadership Team to fulfill annual project reporting requirements for the NSF including fiscal reports.

Works closely with CIRCLES Leadership Team, the external evaluators, and the Project Advisory Board(s) on assessment and evaluation-related activities.

Creates written reports communicating project progress towards stated goals and objectives for internal and external use, including the Project Advisory Board(s) and external evaluation team.

Develops communications content for public-oriented newsletters and external engagement outlets as needed.

Develops and oversees implementation of programs and activities to achieve the goals and objectives of the project.

Oversee and coordinate events to support current CIRCLES Alliance projects and with NSF.

Supervise organization and implementation of annual CIRCLES All-Alliance Meeting in collaboration with the CIRCLES Backbone Organization.

Oversee planning for meetings with the Montana advisory board.

Oversee planning for site visits by the NSF.

The Project Manager has a high degree of independence in establishing priorities and executing the administrative affairs and responsibilities of the CIRCLE Alliance project. The PM will supervise other staff or students hired to fulfill the programs goals and objectives. The PM must have the experience, background, and capacity to exercise a high level of discretion and judgement over administrative and operational affairs.

Position Details

Position is full-time, 1.0 FTE, Letter of Appointment and includes a comprehensive and competitive benefits package

including Insurance package, mandatory retirement plan, partial tuition waiver, and wellness program.

Salary for this position is $47,000-$52,000 per year commensurate with qualifications.

Required Qualifications

Bachelor degree

or

four (4) years of experience in program or project management.

Highly developed verbal, written, and interpersonal communications skills.

Established leadership and management skills and the ability to oversee and guide complex, challenging tasks.

Excellent computer literacy and knowledge of word-processing programs, spreadsheets, visual communications.

Ability to perform complex tasks while often having to prioritize multiple projects.

Work experience indicative of abilities to prioritize, manage time to meet deadlines, and multi-task.

Demonstrated high degree of initiative and ability to work independently.

Ability to build and maintain strong working relationships with a wide-ranging group of individuals and organizations.

Knowledge and or experience working with diverse groups.

Preferred Qualifications

Experience working in a higher education institution.

Experience working with Indigenous communities.
