Summary

CHS is looking for a highly motivated, results minded, experienced Records and Information Management (RIM) Senior Manager to oversee the development, administration and maintenance of the CHS Inc. records management program so ensuring that all records, physical and electronic, at CHS Inc. are maintained in accordance with CHS compliance policies and/or the law.

Position Summary

The RIM Senior Program Manager is an enterprise position within the Compliance and Integrity function within the Legal and Compliance department of CHS. The Senior Manager will develop strategies to ensure the integrity of the records and the metadata over the lifetime of the records as Information Systems are upgraded or replaced and comply with Federal, State, and local regulations. The RIM Senior Manager will work closely and collaboratively with multiple internal partners including the Information Security, Privacy, Office Services, and Compliance and Legal teams. The successful candidate will lead and integrate these programs at CHS globally and will report to the Director of Compliance & Integrity.

Responsibilities

Records Program

Serves as the RIM Senior Program Manager responsible for leading, planning, and managing the Records and Information Management program for CHS Inc regardless of medium or format.

Serves as the Chair of the Records Steering Committee and a liaison to the company on electronic and non-electronic records management issues.

Advises Steering Committee and other stakeholders on the adequacy of documentation and creation and management of company records.

Works closely and proactively with Information Security and Technology and Legal to create and maintain electronic records system with consistent nomenclature, metadata and folder structure to be incorporated in electronic document management systems for CHS.

Works to build records knowledge and compliance throughout the Company. Provides regular records management training to all relevant CHS employees, including the on-boarding and orientation processes.

Serves as an expert and provides record management guidance to CHS employees as needed.

Participates in planning processes for all major information systems to ensure that records management functionality appropriate to records/information assets they support is included in system design. Implement best practices for records storage and retention and advises on requirements necessary to achieve this functionality.

Ensures that Federal, State, and local record retention guidelines are met.

Maintains and matures the CHS Records Policy, Schedule and Program documentation. Write policies and procedures as needed and update existing file plan and records management policies and procedures that comply with Federal, State, and local regulations.

Perform annual reviews/updates on CHS Records Retention Schedules by interviewing employees and conducting records inventories.

Act as Records Management Lead for CHS Records Coordinators and provide them with resources, tools and training to effectively implement the Records Policy and Schedule.

Work with Information Technology to create automated records filing process in various systems including, but not limited to, email and ERP systems.

Perform and/or supervise audits of records storage if needed.

Partner with Office Services to oversee long-term physical storage program for CHS.

Participate in audits for conformance to records management procedures.

Maintain metrics on RIM Program to provide input and maturity for an efficient and effective program.

High Integrity Culture

Work closely with Director, Compliance & Integrity to identify trends or other opportunities to develop best practices for the Records Program.

Network and support with appropriate business leaders.

Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices; participating in professional societies.

Minimum Qualifications (required)

Minimum of 7 years of recent, relevant experience in a records program is required.

Knowledge of and experience with US laws, regulations, and industry guidance for records retention.

Strong technology background in implementing metadata driven electronic document management systems.

Able to apply specialized technical skills as in independent worker with minimal supervision.

Able to perform complex analytical tasks.

Extensive knowledge of records management best practices for both electronic and hard copy records.

Ability to prioritize, organize and demonstrate strong attention to detail.

Effective public speaking skills and an ability to communicate in both verbal and written form with multiple stakeholders within and outside the company.

Ability to influence and work effectively with cross-functional, matrixed teams and projects.

Strong organizational awareness, sound judgment, strong business acumen and ability to make decisions with input from multiple stakeholders.

Bachelor's degree required.
